Invoices

The Invoices section provides merchants with a centralized view of all generated invoices activities, including payment status, detailed records, and reporting options.

Merchants can view comprehensive payment status information, including:

  • Total Paid

  • Pending Payments

  • Total (Pending + Paid)

  • Late Payments

Additionally, the section categorizes invoices by specific payment states:

  • Grace Period

  • Open Payments

  • Missed Payments

  • In Advance While Contracting

Each payment state includes counters for easy tracking.

All invoices generated in the Generate Invoices section are listed in the Invoices Table, organized by property.

Key features include:

  • Send Notifications: Use the Notify Payments button to send payment notifications for all listed invoices.

  • Filter: Use the Filter to display specific generated invoices based on defined parameters.

  • Generate Invoice Report: Merchants can generate a printable PDF report for all listed invoices. For more details, please refer to the Generating Invoice Reports section.

  • Dropdown Access: Click on the dropdown arrow next to a property to view detailed, sequential invoices for that property.

    Empowering merchants for the following features:

    1. Invoice Display:

      For each invoice row, merchants can access the following options:

      • More Details:

        View detailed information, including:

        • Voucher Number

        • Invoice Status (Late or Suspended)

        • Tenant Email Address

    2. Action Menu (Three Dots):

      • Send Payment Reminder: Notify tenants about pending payments.

      • Perform Manual Payment: Process manual payments directly. Refer to the Manual Payment section for detailed guidance.

      • Delete Invoice: Remove an invoice if needed.


Generating Invoice Reports

Merchants can generate a PDF report containing detailed invoice information, including:

  • Unit

  • Contract ID

  • Tenant Name

  • Phone

  • Payment Status

  • Due Date

  • Payment Date

  • Payment Amount

  • Discount

  • Paid Amount

  • Actual Paid Amount

  • Is Manual

Steps to Generate PDF Reports:

  1. Generate Necessary Invoices:

    • Ensure all required invoices are generated in the Generate Invoice section.

  2. Access the Invoice Table:

    • Navigate to the Invoice Section and scroll down to the Invoice Table.

  3. Filter Parameters (Optional):

    • Use the Filter button to specify criteria and locate the desired invoices. Click Search.

  4. Initiate PDF Generation:

    • Click the Print button in the Invoice Table.

  5. Automatic PDF Creation:

    • The PDF will generate automatically after clicking the Print button.

  6. Download the Report:

    • Once the PDF is ready, download it to your device.


Custom Reporting

Merchants can define specific criteria for custom invoice reports using the Filter button. Tailored reports help streamline data review and decision-making.

By leveraging the Invoices section, merchants can effectively manage financial transactions, maintain accurate records, and generate detailed reports to enhance operational efficiency.

Within the Invoices section, merchants can access detailed payment status information, providing them with a comprehensive overview of Total Paid, Pending, Total (Pending + Paid), and Late payments. Additionally, the section offers insights into specific payment states, including Grace, Open, Missed, and In Advance While Contracting. Counters for each payment state are also provided, as illustrated in the figure below.

All invoices generated by the Generate Invoices section are listed within the Invoices table. This table organizes invoices according to the property, offering an overview of the invoices generated for each property. Merchants can delve into more details about each property's invoices by clicking on the dropdown arrow, which reveals all relevant invoices arranged sequentially.

The merchant can send notifications for all generated invoices with a single click on the Notify Payments button.

After accessing the property details by clicking on the dropdown arrow illustrated in the figure above:

  • More Details: Clicking on the More Details button at the end of each invoice row allows the merchant to access additional information about that specific invoice. This includes the Voucher Number, whether the invoice is late or suspended, and the tenant's email address.

  • Action Menu: Clicking on the three dots at the end of each invoice row displays a dropdown menu that enables the merchant to:

    • Send Payment Reminder: Notify the tenant about pending payments.

    • Perform Manual Payment: Process a manual payment for the invoice by selecting Manual Payment. For further details on manual payments and how to use this feature, please refer to the Manual Payment section.

    • Delete the Invoice: Remove the invoice from the system if necessary.
